Adoption Angels is a full-service child-placing agency that assists parents in finding loving adoptive homes for their children. We are a family business that was started after seeing the need for open, honest, and genuine care to all parts of the adoption triad (birth parents, adoptive parents, and adopted children).

Position 



Adoption Angels is hiring an Office Manager to join our team. The Office Manager takes charge of front-office operations (public-facing) to ensure they run smoothly, as well as ensuring internal operations (back-office responsibilities) are handled efficiently in a timely manner. The ideal person for this position is highly-motivated with strong bookkeeping background, organizational, and interpersonal skills who enjoys behind-the-scenes work. This position requires diverse skills and strong multi-tasking abilities. The Office Manager has significant responsibilities and plays a critical role in problem-solving and supporting all of the staff in numerous ways. We are looking for an enthusiastic, committed leader who is excited to join a hard-working team. 



This position is ideal for a people person who enjoys building and maintaining relationships. The Office Manager will have significant responsibility and tremendous opportunity to make an impact within Adoption Angels and on the Parents and families, we bring together through adoption.



Responsibilities

Responsible for greeting clients and the public on the phone and in the waiting area with a friendly and professional demeanor. 

Oversee and maintain the general front office organization and appearance of common areas. 

Provide direct administrative support as needed, including scheduling appointments, meetings, mailing and shipping packages, and updating the contact database.

Ensure filing systems are maintained and current  

Oversee Accounts Payable and Receivable with timely and accurate invoicing and bill payments and corresponding with clients regarding payments and collections, and general banking.

Oversee and maintain office equipment for uninterrupted function, identify and fulfill office supply needs, and oversee the organization of the office storage areas and supplies



Skills and Qualifications

Motivated self-starter with the ability to take initiative and manage responsibilities with minimal guidance.

Excellent time management skills and ability to multitask and prioritize work

Engaging personality and optimistic outlook

Highly organized, thorough, and detail-oriented 

Excellent written and verbal communication skills

A professional demeanor and the highest level of discretion is essential in the management of confidential information



Education and Experience

High school diploma, or GED 

Must be proficient in programs such as Word, Excel, and experienced with QuickBooks, with the aptitude to learn new software and systems.

A minimum of two years’ experience working in an office setting and/or with duties listed above

Bilingual in Spanish (preferred)



Additional Information 

Starting date: Effective Immediately

Starting wages: Compensation is negotiable based on experience 

Confidentiality: This position includes access to sensitive and personal information thus requiring a confidentiality agreement to be signed and honored.
